Understanding search and filter in Aphix SalesRep

Purpose and scope

Search and filter features offer you the opportunity to find what you are looking for faster, and hence work more efficiently. Search and feature functionality are available on many of the screens in Aphix SalesRep.

This feature guide explains how the search and filter features work to return useful results that you can use. This feature guide also provides a step by step guide on how to use these features.

Fitting it all together

Search

You can search for customers from the Accounts screen and products from the Catalogue screen. Within Accounts, you can search for a specific activity under Activities a specific order under both Open Orders and Order History and a specific statement / set of statements under Statements.

Enter your search term in the search box and click the search icon. This searches the database, and returns relevant, matching results.

In the background, each item in the dataset being searched is assigned a score based on how closely it matches the search term. Higher scores associated with an item means that the item is more relevant to the search term. Scores are assigned using the following criteria:

  • Items that exactly match the search term you entered are assigned the highest scores

  • Items that closely match the search term you entered are assigned lesser scores

  • Items that match but have trailing ends (for example, “sheet - ing”) are assigned the least amount of scores

The top 50 matches are returned.

For example, when this search criteria is applied to the product catalogue, items that match the product code or the product name exactly are assigned the highest scores and are listed at the top of the results returned.

Filter

You can filter data on the Accounts and Orders screens.

  • Click to the right of each column header to display the hamburger menu.

This opens the Filter options.

  • Specify how you want to filter the data by selecting an option from the drop-down box. Options are:

    • Contains

    • Not contains

    • Equals

    • Not equal

    • Starts with

    • Ends with

  • Enter the term you wish to filter by and click Return. The data is filtered based on your chosen criteria.
