Standard features for Aphix eCommerce

Aphix eCommerce is an integrated B2B or B2C web portal that provides real time access to product, price and stock levels, with the possibility of gated logins, micro-sites and more. As standard, it includes multiple feature sets which when used together offer a vast array of functionality.

Aphix B2B Portal is a secure customer self-service website that allows your customers to order, check stock and manage their account with you. As standard, it includes feature sets which offer a vast array of functionality.

Aphix eCommerce (both B2B and B2C) and Aphix B2B Portal includes access to Aphix Management Interface, allowing you to customise and configure your WebShop. As standard, we integrate with SAP Business One, Intact iQ, Sage 200 and BrightPearl by Sage ERPs.

Aphix WebShop is SaaS product

Aphix WebShop is a SaaS product. This means that it includes all of the support, regular feature updates, and security monitoring required so that no customer is left behind on older, insecure software and you can concentrate on your core business function. Or you can opt for some additional professional services to help you with your migration and roll-out.

WebShop Branding

As a merchant, you want your identity and brand to be displayed through your eCommerce WebShop. The WebShop branding feature set provides you with tools and options to allow you to do just that!  It includes the features:

Content management

Managing content on your WebShop is made easier through the many content management features that come as standard. These are:

  • Pages - our content management system. Pages allows you to configure your WebShop through the use of blocks, pages and links.

  • Visual Page Builder - customise the content in your Aphix WebShop using intuitive drag and drop functionality and interactive configuration controls

  • SEO data controls for the content you create in Pages

  • Banner - our easy to configure banner management system for hero and category banners.

  • News and blog - our easy to use news and blog management system that allows you to easily update your "Latest New section".

  • Essential pages - inclusion of mandatory pages, such as WebShop home page, Contact Us, Privacy Policy, Cookie Policy and so on.

  • Store locator - our tool that allows you to easily add your store locations.

Account management

Here's our standard features which help you manage who can use your WebShop (customer account management) and who can manage it (merchant account management).

Customer account management

Key points on integration

When your ERP is SAP Business One, your customer’s email address is matched against data retrieved from the Contact Persons field in the Business Partner Data table.

When your ERP is Intact iQ, the iQ2 web service is used to retrieve data from your customer’s CRM Contacts. Additional work is required to fully configure this web service.

We currently do not support creating a WebShop Instant Account in Sage 200.

  • Allow customers to manually create a web account on your WebShop

  • Allow customers to manage their own accounts with secure login and reset password functionally

Catalogue management

Your product catalogue contains products that you wish to sell, either in a B2B or B2C capacity. The online catalogue of your products must be accurate, up to date, consistent across platforms and easy to navigate. Providing sufficient information about your information and displaying them well in your WebShop are both aspects of this feature set. The product administration section in Aphix Management Interface allows you configure products to best advantage. The features are:

Key points on integration

When your ERP is SAP Business One, the customer contact details are retrieved from Business Master Data table in SAP Business One. Also, credit data is retrieved from Business Partner Payment Terms.

When your ERP is Intact iQ, the customer contact details are retrieved from Customer table in Intact iQ. Also, the Credit Controls Credit Limit and calculated credit balance is retrieved from Intact iQ.

  • Manage delivery addresses

Key points on integration

When your ERP is SAP Business One, delivery addresses are retrieved from Ship-To addresses stored in the Business Partner Master Data.

When your ERP is Intact iQ, delivery addresses are retrieved from the Customer table in Intact iQ.

When your ERP is Sage 200,delivery addresses are retrieved from Customer Delivery Addresses.

Key points on integration

When your ERP is SAP Business One, quotations are stored in and/or retrieved from the OQUT table in SAP Business One.

When your ERP is Intact iQ, quotations are stored in/retrieved from the Sales Quotation List.

We currently do not integrate the Quotations feature with Sage 200.

Sales order processing

Compile your order

Within Aphix WebShop, there are a variety of different ways that your customers can compile / create and place an order. These are:

  • Browse catalogue and use "Add to Cart" button to add products to the cart

  • Allow B2B and B2C customers to compile orders using a variety of options, including Quick Order, Order Lists, Spreadsheet Import and others.

Checkout

Once your order has been compiled, you can:

  • Place order into your ERP in real-time

When your ERP is SAP Business One, a sales order is created in the Sales Order table which is linked to an existing Business Partner. The sales order contains a customer ref, line items, remarks, shipping type and other relevant details.

When your ERP is Intact iQ,a sales order is created which is linked to an existing Customer. The sales order contains a customer ref, line items, internal instructions, delivery agent / service and other relevant details.

When your ERP is Sage 200,a sales order is created which is linked to an existing Customer. The sales order contains a customer order number, line items, note, additional charges for delivery and other relevant details.

  • Enable guests compile orders and checkout with no account required

  • Enable B2B and B2C customers to have One page checkout

  • For North America customers, when you have an active Avalara AvaTax integration, checkout calculates sales tax in real-time

Once your customers have completed the checkout process fully the order is sent to your ERP in real-time.

Pay for your order

WebShop comes with a number of different workflows that allow you to accept payments:

  • Accept payment against a credit balance

  • Cash sales for your B2B customers via a payment gateway

When your ERP is SAP Business One, an A/R reserve invoice with payment is created for the full value of the sale.

When your ERP is Intact iQ, a sales order, invoice and payment confirmation is created for the full value of the sale.

When your ERP is Sage 200, a sales order and a payment allocation is created for the full value of the sale.

  • Cash sales for your B2C customers via a payment gateway

  • B2B payment on account - workflow that allows your B2B customers to pay some or all of the balance on their account

Features that support sales order processing

Once your customers have placed their orders, they receive an automatic email with their order details. Additionally, you can:

  • Provide access to order history in your customer's WebShop dashboard

Pricing

Your WebShop is integrated with your ERP. The Pricing feature set contains features that utilize the pricing functionality of your ERP. Features are:

  • Display real time prices direct from your ERP for B2B WebShops

  • Import pricing data regularly for B2C WebShops

  • Display trade pricing in multiple currencies

When your ERP is SAP Business One, the value contained in the Business Partner Currency field is set as the default currency when your customer logs into WebShop.

When your ERP is Intact iQ, the value contained in the Customer Currency field is set as the default currency when your customer logs into WebShop.

When your ERP is Sage 200, the value contained in the Customer Currency field is set as the default currency when your customer logs into WebShop.

  • Apply customer-specific pricing

Key points on integration

When your ERP is SAP Business One, customer-specific pricing utilizes the Special Pricing for Business Partners feature. This flexible feature enables the provision of a discount or surcharge for a specific business partner. Since special prices are the most specific pricing in SAP Business One, it is the first price searched for and applied for a customer.

When your ERP is Intact iQ, the cheapest available price for a product is calculated and retrieved by a web service call. The cheapest available price is calculated based on the customer's default price index, price list, additional price list or pricing category. A pricing priority (if used) overwrites any lower price. 

When your ERP is Sage 200, the Sage Pricing calculator calculates the product's price based on the selling price, the customer set price band, the price book rules for the customer and any discounts for a stock item and product group.

Vouchers and coupons are applied on top of the calculated price retrieved from your ERP.

  • Create quotes, and convert them to sales orders

When your ERP is Intact iQ, quotations are stored in/retrieved from the Sales Quotation List.

We currently do not integrate the Quotations feature with Sage 200.

When your ERP is SAP Business One, credit data is retrieved from Business Partner Payment Terms.

When your ERP is Intact iQ, the Credit Controls Credit Limit and calculated credit balance is retrieved from Intact iQ.

 When your ERP is Sage 200, credit data is retrieved from Sage 200.

  • Implement minimum order restrictions

Key points on integration

The minimum order value per order can be configured in Aphix Management Interface. There is no maximum order value per order.

The minimum order quantity is imported from your ERP and applied to your order.

When your SAP Business One, we recommend that you create a UDF to capture products that are POA.

When your ERP is Intact iQ, we recommend that you use the Stocking Status field to identify POA products. Should you select a different field to Stocking Status, you will need to verify that it can be retrieved through Intact's web service calls.

  • Display WEEE charges if applicable

When your ERP is SAP Business One or Sage, you can add this feature on as a customisation.

When your ERP is Intact IQ, EMC charges are automatically added to the order.

  • Display retail pricing in multiple currencies

  • Handle sales tax for your retail customers, both in EU and non-EU scenarios

Stock

While your ERP manages your stock levels, locations and more, we have a host of features that make displaying that information more beneficial to your customers: 

  • Display real time stock availability

When your ERP is SAP Business One, by default, the stock level displayed is "Available stock" for all warehouses. You can retrieve and display 

  • stock from one warehouse location

  • breakdown of stock per location

  • sum of stock from selected warehouses

When your ERP is Intact iQ, by default, the stock level displayed is "Available stock" for all warehouses. You can retrieve and display 

  • stock from one warehouse location

  • breakdown of stock per location

The stock level is calculated automatically within Intact iQ, and retrieved using a standard web service call.

When your ERP is Sage 200, by default, the stock level displayed is "Available stock" for all warehouses. You can retrieve and display stock from one warehouse location. It is automatically calculated in Sage 200, and is retrieved via a web service call.

Not supported in Sage 200: the web service call cannot retrieve or show the "Available Stock" for either:

  • a sub-set of warehouses or

  • a breakdown of stock within one warehouse

For all ERPs,

  1. For trade customers using a B2B eCommerce WebShop, the stock level is displayed in real-time when an individual product page or product listing page is loaded or refreshed.

  2. For retail customers using a B2C eCommerce WebShop, the stock level is synchronised regularly with your ERP, and the latest stock level is displayed.

  • Display available stock numbers on both individual product pages and product listings

  • Display stock level indicators on both individual product pages and product listings

  • Allows for multiple stock locations

Key points on integration

When your ERP is SAP Business One,the stock level can be displayed either by individual warehouse or a sum of all warehouses.

When your ERP is Intact iQ, the stock level is displayed by individual warehouse.

  • Re-calculates stock based on selling units and/or pack sizes

By default, stock level is calculated and displayed by individual product. However, during your implementation, you can set products in your WebShop to be priced and purchased per selling unit and/or pack size.

Shipping and delivery

The following standard features support shipping and delivery logistics:

When your ERP is SAP Business One, the shipping type is retrieved from and/or stored in the Shipping Type field, which can be viewed under the Logistics tab in your SAP Business One documents.

When your ERP is either Intact iQ or Sage 200, the pick-up store is set to either a default store or a store selected by your customer. Then this value is listed as the branch location on the order.

Freight types and associated pricing are managed in SAP Business One. The freight charge is added to a sales order under Freight.

Integrating with external tools

Integrate with many different external tools, which enhance the functionality of your WebShop and improves efficiency in your business processes. WebShops can be integrated with:

  • Search engine optimization tools, such as Google analytics and HotJar

  • Communications and marketing tools, such as MailChimp, Campaign Monitor, reviews.io, LiveChat, Feefo and Intercom

  • Form building tools, such as Wufoo

  • Social media platforms, such as Flockler, Facebook, Twitter, YouTube, Pinterest, Instagram and LinkedIn

  • Production error logging and reporting, such as Tools Notify Log, DataDog, Sentry and Uptime Robot

  • Tax calculation software, such as Avalara

  • Miscellaneous tools, such as cookie-script and Shopify

  • Third party tool provides may require you to have a subscription plan with them before you can integrate with Aphix WebShop.

Payment gateway integration

Want to give your customers even more ways to pay? Integrating a payment gateway into Aphix WebShop provides functionality that allow your customers pay by credit or debit card using a secure gateway. We:

  • Assist in fraud prevention by including a limit on the number of times your customers can use a payment gateway

  • Each payment gateway has pros and cons. As a merchant, you will need to look at them and determine which best suits your business and your processes.

Internationalisation
